Executive Assistant I - IS at Englewood

Job Description

Under supervision, provide administrative support to executives and respective department. Prepare materials.

Job Responsibilities

  • Carries out defined ad hoc and routine tasks. Having a familiarity with project dynamics, organizes logistics and information according to instruction in support of the teams efforts.
  • May sustain a minor role in a variety of defined business processes.
  • References documented processes, previous instruction and established guidelines to address challenges. Escalates more complex challenges or challenges outside the scope of defined practice.
  • Independent decisions are based on limited experience and familiarity with challenges and prescribed guidelines and practices with little or no deviation.
  • Has a general understanding of task importance and its supportive relevance.
  • Requires communicated project and/or procedural guidelines.
  • Reacts immediately to frequent changes in project, process or administrative needs.

Position Responsibilities

  • Assistexecutive and department team members with all administrative tasks.
  • Extensiveand complex calendar coordination of meetings, conferences, and events.
  • Create, modify, and update reports, spreadsheets, and materials for business meetings.
  • Plan, schedule, and coordinate business-related travel.
  • Processall business related expenses for executive and department.
  • Processincoming and outgoing department mail, including various correspondences which may be sensitive and confidential in nature.
  • Provide support in other business cross-functional areas.

Job Requirements

  • High School Diploma or equivalent relevant experience.
  • Extensive PC experience including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • 1 year experience with general office procedures (i.e. filing, correspondence, scheduling, maintaining calendars, phones, and taking messages.
  • Tact and good judgment with confidential situations and proven experienceinteracting with senior management.
  • Superior verbal and written communication skills to prepare internal / external correspondence and presentations on behalf of others.
  • Advanced ability to organize and multi-task.
  • Ability to work with frequent interruptions.
